How to Total a Weekly Timesheet

A weekly total should be the result of verified source shifts, not a number reconstructed from memory. Confirm the date range first, then audit time before applying money.

Use the correct weekly range

A Sunday-to-Saturday personal view may be convenient, but it may not match the workweek or invoice period used by an employer or client. Label the exact start and end dates before adding shifts.

The calculator supports either Monday or Sunday as the start of an optional overtime scenario. That setting changes the estimate; it does not determine the official workweek for you.

Audit the shifts before totaling them

Read the week as a timeline. This reveals problems a final number cannot show.

  • Every scheduled or remembered workday has a source entry.
  • No two entries overlap or duplicate the same work.
  • Unpaid breaks are entered once and in whole minutes.
  • Overnight clock-out is attached to the following date.
  • Each shift carries the job and rate that applied.

Worked example: five shifts with breaks

Five 8-hour shift spans contain 40 elapsed hours. If each day includes a 30-minute unpaid break, the paid total is 37 hours 30 minutes. At $22.50 per hour, the simple gross estimate is $843.75.

5 × (8h − 30m) = 37.5h · 37.5 × $22.50 = $843.75

Apply rates only after the time is correct

If all shifts use one rate, multiply the final paid duration by that rate. If rates differ, calculate each group separately. Avoid rounding every shift’s money before the period total; that can create small reconciliation differences.

Keep the result labeled as estimated gross pay. Taxes, deductions, overtime treatment, premiums, and payroll rounding may change the official amount.

A weekly number is useful for planning. The individual entries are what let you explain it. Keep the timestamps, breaks, job, rate, and any relevant note until the period has been reviewed against the official record.
