Track Work Hours Across Multiple Jobs

The safest way to understand multiple jobs is to keep each employer or client distinct at the source. A combined total can help with planning, but it should never erase which rate and pay period produced each shift.

Give every job a clear label, attach each shift to the rate that applied on that date, review totals by job first, and combine them only after the separate math is correct.

Create a distinct record for every job

Use a consistent job or client label on every shift. Store the work date, start, end, unpaid break, applicable rate, and only the notes that help explain something unusual.

This makes a later report understandable without relying on memory. It also prevents one job’s hourly rate from being applied to another job’s hours.

Keep rate history instead of one editable number

When a rate changes, the new value should apply from its effective date forward. Earlier shifts should retain the rate that belonged to them. Otherwise, reviewing an old pay period can silently produce a new result.

Review by job before reviewing everything

Start with each job’s own week or pay period. Check missing shifts, overlaps, break entries, and rates. After those subtotals make sense, a combined personal total can help you see the overall period.

If two jobs use different pay-period boundaries, keep both views. A combined calendar range is not a replacement for either official period.

Worked example: two jobs, two rates

Imagine 12 paid hours at Job A for $18 per hour and 7 hours 30 minutes at Job B for $24 per hour. Job A contributes a $216 estimate. Job B contributes $180. The combined personal estimate is $396 across 19 hours 30 minutes.

12h × $18 + 7.5h × $24 = $216 + $180 = $396

Share only the record that belongs to the situation

A client invoice, employer discussion, and personal backup do not necessarily need the same information. Keep a private master record, then export only the relevant job and date range when you choose.
